If you’ve ever needed a polite nudge or, let’s be honest, a firm shove to book that industry trip to Barcelona, this is it. IBTM World 2025, the grand annual pilgrimage for the global business events community, is about to open its doors, and the clock is ticking on your chance to secure free entry.
Until October 20, trade visitors can register at no cost for the world’s leading international trade show for meetings, incentives, conferences and exhibitions (MICE). After that, latecomers will need to part with €100, which, let’s face it, would be far better spent on a tapas lunch and a glass (or two) of cava on Las Ramblas.
From 18 to 20 November, the Fira de Barcelona will again host what can only be described as the Olympics of the events world — three electrifying days of ideas, innovation and networking under the theme People. Power. Potential.
A Meeting of Minds – and Mingling
With more than 2,350 exhibitors expected on the show floor, IBTM World 2025 promises the kind of professional speed-dating only event planners could dream of. Whether you’re a seasoned PCO, a corporate meeting guru, or an up-and-coming destination marketer, a stand (and a story) is waiting for you.
This year’s conference program has been designed to provoke, inspire and occasionally challenge the way the industry sees itself. Among the headline acts: Nathalie Nahai, the polymath best known for her work in digital empathy, and Natalia Talkowska, a six-time TEDx speaker whose visual storytelling workshops have turned more than a few sceptics into sketch-noting converts.
And then, of course, there are the famous after-hours gatherings, the Welcome Party that sets the tone, and the Club Night, which reliably tests stamina and the strength of one’s morning coffee.

Returning by popular demand is Exceptional Experiences, IBTM’s innovation showcase for in-house event professionals and marketers who want to turn gatherings into growth engines. This year’s keynote will be delivered by B. Joseph Pine II, the co-author of The Experience Economy, whose book arguably predicted the world we live in, where experience trumps everything.
Big names taking the stage include WeTransfer, Canva, Shutterstock, Amazon, and UTA. Each brings its distinct flavour to discussions on creativity, tech, and engagement. In short, expect lightbulb moments.
AI, Robots and the Future of Connection
Regarding lightbulbs, the aptly named Future Stage will illuminate what’s next for event design, sustainability and technology. Julius Solaris, founder of Boldpush, will lead the charge, who will literally sit down with Ameca, the humanoid robot that has already caused a stir in the tech circuit.
Their session, “Can AI Really Take Over Events?”, will explore whether artificial intelligence is ready for centre stage, or if human charm (and coffee breaks) still reign supreme.
IBTM Ignite – Sparking the Next Generation
IBTM Ignite, a bold new platform for over 100 start-ups ready to pitch their ideas to a panel of around 30 seasoned industry advisors and investors, is debuting this year. These fresh faces cover everything from event technology and sustainability to inclusive talent sourcing, a welcome sign that the next generation isn’t just showing up but ready to reshape the sector.
If you’ve ever been told your big idea was “ahead of its time,” Barcelona might be where time finally catches up.
A Pavilion with Personality
Back for its sophomore year, the Hotel Pavilion returns as a boutique-style showcase for independent and small hotel groups looking to make their mark. Brands like Obvio Hotels, Millennium Hotels & Resorts, and The Palm Experience Hotels will once again reside in a space designed to mirror a luxury lobby minus the concierge but plus a lot of deal-making.
It’s an opportunity for buyers to discover hidden gems beyond the big chains. It’s a chance for hoteliers to remind the world that being small can be stylish, and independence doesn’t mean being invisible.
Conversations by the Campfire
Recognising that not all learning happens in lecture halls, the Workplace Revolution zone literally offers what might be the most comfortable conversations of the week. Styled as a relaxed, campfire-like setup, this area invites visitors to sit down with thought leaders shaping the business’s human side.
Speakers include behavioural scientist Lea Karam, climate strategist Dana Moore, and Dr Ferron Grey, President of the Grae Matta Foundation. Expect candid discussions on mental health, leadership, and sustainability in a format that feels refreshingly uncorporate.
Tech, Talent and Tangible Takeaways
This year also sees the launch of the Event Tech & Services area, where nearly 50 organisations from established players like Cvent and Swoogo to newcomers MIRAI, Gther, and Newhotel Software will showcase technologies shaping the next era of live experiences.
But IBTM World isn’t just about what’s new; it’s about what’s possible. Expect interactive installations, hands-on demos, and an energetic Social Spot filled with creative sessions from live painting to VR-powered destination tours that transport you from Barcelona to Bali in seconds.
